Real-Time Event Data, Zero Manual Entry: A Cvent and HubSpot Integration

When a national security and intelligence professional association came to us, their event platform and their CRM did not talk to each other.

Every conference registration lived in Cvent. Every member and contact record lived in HubSpot. Between the two sat a person, exporting spreadsheets, matching records by hand, and pasting registration history into the CRM one event at a time. It was slow, it was error prone, and it meant the team never had a current picture of who was engaged.

The real problem was not the software

Both tools were excellent. The gap was the operating layer between them: no defined process for how a registration became a CRM record, no reliable data flow, and no system connecting the two. Buying better software would not have fixed it, because the software was never the missing piece. The work between the systems was.

What we built

We built a dedicated integration that keeps the two systems in sync automatically, with no manual step.

  • Every five minutes it pulls new and changed registrations from the event platform.
  • It enriches the matching CRM contact, or creates one if the person is new, and writes a full registration note to their timeline: event, date, type, status, and a cross-reference key back to the source record.
  • An audit trail records every record it touches, a reconciliation sweep automatically retries anything that fails, and a daily digest plus real-time failure alerts mean a problem surfaces before anyone has to go looking for it.

We also made the cutover safe. The pipeline ran in a shadow mode against live data first, so we could prove every layer worked end to end before it wrote a single production record, with a documented rollback at every step.

The results

  • **5,180 contacts** enriched in the historical backfill across **61 past events**, with **7,621 registration notes** written to member timelines and **zero duplicates** created.
  • New registrations now reach the CRM **within five minutes**, each one processed in **under two seconds**.
  • **Zero manual data entry.** The export, match, and paste job is gone.
  • A clean, current view of member engagement the team can actually trust, because every record is built the same way every time.

Why it matters

The association did not need a better event platform or a better CRM. They already had both. What they needed was the operating layer between the two built and then run: the process defined, the data reconciled, the systems connected, and the whole thing monitored so it stays that way. That is the work that turns two good tools into one reliable source of truth.
